Integrating Tally with your operations software means customers, items, invoices and payment status flow automatically between accounts and the systems your sales and operations teams use, so nothing is typed twice. It is usually done through Tally's built-in XML interface or a connector running alongside Tally, with clear rules about which system owns each type of data.

The key decision is ownership. Each piece of data should be created in one place and copied, never edited in both.
How the integration works
- Tally's XML interface. Tally can accept and return data through requests sent to it over the local network. Custom software can create vouchers, read ledgers and pull reports this way.
- Connector service. A small program runs on the machine or server where Tally lives, collects changes, and syncs them with your cloud software on a schedule.
- Tally on cloud hosting. When Tally is hosted remotely, the same methods apply, with attention to network access and security.
For most SMEs, a connector with scheduled sync every few minutes gives near-real-time data without the complexity of instant updates.
What changes for each team
Sales sees each customer's outstanding balance and overdue invoices before calling them, and stops asking accounts for updates.
Accounts stops re-typing orders. Their work shifts to checking exceptions the integration flags, such as a missing GSTIN or a customer not yet matched.
Operations knows which orders are invoiced and which are held for payment, so dispatch decisions are faster.

The integration is only successful if each team trusts the numbers. Run old and new processes side by side for two to four weeks, compare the results daily, and switch over only when they match.
Common pitfalls
- Master data mismatches. A customer spelt differently in two systems creates duplicates. Clean and match masters before going live.
- GST and tax details. Invoices must carry correct GSTINs, HSN codes and tax splits. Validate before sending to Tally.
- Editing in both places. If accounts edits an invoice in Tally that operations created, the systems drift apart. Agree who corrects what.
- Tally not running. If the connector depends on Tally being open, plan for when the machine is off. Queues and retry logic prevent lost data.
