Software for Logistics and Distribution Businesses

18 September 2026 · 4 min read

The most valuable software for logistics and distribution businesses covers four things: accurate, live inventory across warehouses; order management from dealer to dispatch; delivery tracking with proof of delivery; and a clear view of outstanding payments by customer. Connected to Tally and WhatsApp, these systems remove most of the calls and spreadsheets that consume a distributor's day.

Delhi NCR is one of India's largest distribution hubs, with warehouses along the expressways and in the industrial areas of Noida, Ghaziabad, Gurugram and Faridabad. Many distributors have grown to dozens of staff and hundreds of dealers while still coordinating by phone.

Where time and money leak

  • Stock uncertainty. Salespeople promise stock that is not there, or the warehouse holds slow-moving items nobody knows about.
  • Order entry. Orders arrive by phone, WhatsApp and email, and are typed in by hand.
  • Dispatch planning done on paper or in a spreadsheet each morning.
  • Delivery disputes with no proof of what was delivered and when.
  • Collections. Salespeople do not know which dealers are overdue.
  • Scheme management. Discounts and schemes calculated manually, with errors.

The core systems

Inventory and warehouse

Barcode scanning at receipt and dispatch, stock by location and batch, reorder alerts, and slow-moving stock reports.

Order management

Orders from salespeople, dealers and the office in one place, with automatic price and scheme calculation and stock reservation.

Dispatch and delivery

Daily dispatch planning by route and vehicle, a driver app with delivery confirmation, photos and signatures, and automatic WhatsApp updates to customers.

Dealer portal

Dealers place repeat orders, check balances and download invoices themselves, which cuts calls to the office.

Collections and credit

Outstanding balances by dealer, credit limits enforced at order entry, and reminders for overdue payments.

Integrations

| System | Why it matters | | --- | --- | | Tally | Invoices, stock values and receivables stay consistent | | WhatsApp Business | Order confirmations, dispatch updates, payment reminders | | E-way bill and GST systems | Compliance for goods movement | | Field sales app | Orders captured at the dealer's counter |

Where to start

  • If stock is the problem: start with inventory and barcodes.
  • If order errors are the problem: start with order management and scheme rules.
  • If cash is the problem: start with collections visibility and credit limits.

The first system should pay for itself within months through fewer errors, faster dispatch or better collections.

What a typical day looks like after

Consider a distributor with 300 dealers and two warehouses. Before new systems, the morning started with a call list, a stock spreadsheet updated the previous evening, and a dispatch plan written on paper.

Afterwards:

  • Dealer orders placed overnight on the portal are already priced, checked against credit limits and reserved against stock.
  • The dispatch planner sees orders grouped by route and assigns vehicles on one screen.
  • Drivers open their delivery list on the app, capture signatures and photos, and customers receive a WhatsApp confirmation automatically.
  • By noon, the owner sees orders, dispatches and collections for the day on a dashboard, without asking anyone.

The team is the same size. The difference is that their time goes into exceptions and customers rather than re-typing and chasing.

Measuring results

Before starting, record current order-to-dispatch time, stock accuracy at the last count, delivery disputes per month and days sales outstanding. Measure again three months after go-live.

Frequently asked questions

Can this work with our existing Tally setup?

Yes. Most distributors keep Tally for accounts and connect operational systems to it.

Will our dealers use a portal?

Dealers who reorder regularly adopt portals quickly, especially when orders placed there are confirmed faster than by phone. A web link shared on WhatsApp works better than an app for most dealers.

How long does implementation take?

A focused first module usually goes live in two to four months, with further modules added in phases.

Do we need a full ERP instead?

Some distributors do well with a packaged ERP. Others need custom scheme, dealer and dispatch logic that packaged systems handle poorly. See ERP: build, buy or customise.
