Integration (Software Integration)

Software integration is the work of connecting separate business systems, such as accounting, CRM, e-commerce and WhatsApp, so information moves between them automatically and correctly. It removes re-typing, speeds up processes and gives one reliable version of the numbers.

Key Facts

Common SME pairsTally with Shopify or Razorpay, CRM with WhatsApp, website forms with CRM, ERP with e-invoicing
ApproachesReady-made connectors, no-code tools (Zapier, Make, n8n), or custom code
Typical timelineDays for a connector; 2–8 weeks for a custom integration
Ongoing needMonitoring, error alerts and updates when either system changes

Three ways to integrate

  1. Ready-made connectors: fast and inexpensive for standard needs, limited when your rules are specific.
  2. No-code automation tools: flexible for simple, low-volume flows. See n8n, Make or custom code.
  3. Custom integration: built around your business rules, with proper error handling and logs. Best for critical, high-volume flows.

What makes an integration reliable

  • Clear rules for what moves, in which direction, and which system is the source of truth.
  • Handling for failures: retries, alerts, and a way to fix and re-send records.
  • Monitoring, so a silent failure does not go unnoticed for weeks.

Frequently Asked Questions

Is integration a one-time cost?

Mostly, but budget for maintenance: APIs change, credentials expire and business rules evolve.

How do I know if I need integration?

If staff re-type the same data into two systems every day, or reports disagree between systems, integration usually pays back quickly.
